How to Check Folding Boxes When a Shipment Arrives
Check a delivered box shipment against the approved order, artwork and sample before it enters your packing workflow. Review appearance, dimensions, quantity and assembly, and document any discrepancy for follow-up.

Prepare the documents before opening cartons
Keep the purchase order, approved dimensions, artwork version and sample available to the receiving team. These documents define what was ordered. A photograph or a product listing alone cannot replace the agreed specification.
Record the delivery reference and identify the cartons being checked. Use the sampling and acceptance plan agreed for the order. There is no universal sample count or tolerance in this checklist; those requirements belong in the purchasing specification.
Inspect appearance and artwork
Look for visible damage, staining, deformation or inconsistent assembly in the boxes selected for inspection. Compare logo placement, printed wording and orientation with the approved artwork. Check that the correct design has been supplied.
Photograph any discrepancy clearly and keep the affected item identifiable. If several cartons show the same issue, record where it occurs rather than relying on one general photograph of the delivery.
Compare dimensions, quantity and packing
Measure the dimensions defined in the order, using the same internal or external measurement convention. Compare the results with the agreed values and tolerances. Do not substitute a measurement taken from an online image.
Check quantities and the packing arrangement against the order. Review labels and any item codes used to distinguish sizes or designs. Keep variants separate during receiving so that a correct total does not hide a mix-up between versions.
Try assembly with the intended product
Assemble the selected boxes and compare them with the approved sample. Check folds, closures and the product fit where those checks are part of the specification. The gift packaging pictured here illustrates the need to review the inside as well as the outside; it does not define the folding structure for every order.
Any required transit, compression or other performance test should follow the agreed method. Visual inspection alone is not a test result and does not establish a protection rating.
Document the result and follow up
Record what was checked, the results and any affected quantity. Share a concise discrepancy report with photographs, measurements and the order reference. Keep disputed items identifiable while the issue is reviewed.
Clear receiving records help the purchasing and supplier teams discuss the same issue. Confirm the agreed resolution before mixing affected packaging into the regular packing stock.
